Job Description:
As our company continues to grow, we are looking for another Tour Planner to join our team to help us meet the increasing demand for exciting, well-organized trips. This role offers the flexibility to work remotely if needed, a competitive salary, and travel-related benefits.
Primary Responsibilities:
• Tour Planning & Design: Develop itineraries for multi-day bus tours, small group international
tours, and cruises.
• Tour Coordination: Manage all aspects of the tour, including routes, accommodations,
attractions, and supplier communications.
• Supplier Relations: Coordinate reservations, payments, and logistics with suppliers and destination partners.
• Detailed Scheduling: Prepare comprehensive instructions for drivers and guides, including maps, timing, addresses, and key notes.
• Creation of Client Documents: Prepare brief itineraries to share with clients including day to day schedules, packing lists, important contact information and more!
• Guide Briefings: Provide pre-departure briefings to tour guides and answer any questions.
• Promotional Support: Assist with pricing tours and provide direction to the marketing team on how to best promote your tour.
• Relationship Management: Build and maintain relationships with suppliers and destination offices to ensure smooth operations.
• Support Tasks: Assist with finalizing and distributing tour materials (name tags, luggage tags, supplemental forms etc.) if needed during the busy season.
Qualifications:
• 2+ years of experience in the travel or tourism industry (group tour planning experience is a strong asset).
• Strong organizational skills with keen attention to detail.
• Comfortable managing multiple projects and deadlines simultaneously.
• Excellent interpersonal skills and willingness to engage with suppliers directly.
• Familiar with tourism destinations in Canada, the U.S., and internationally.
• Basic accounting knowledge and proficiency with Microsoft Excel to assist with pricing.
• Competent with MS Office and online booking systems.
• Quick to learn new tools and systems.
• TICO certification (preferred or willing to obtain).
Education & Experience:
• Experience in customer service or administration with strong multi-tasking skills.
• Previous experience planning group travel or tours is an asset.
• Training will be provided.
